In accordance with the laws and rules concerning the collection and processing of data under the General Data Protection Regulation, Czechitas would like to inform you of its data practices. On this page, we outline what is considered personal data, what personal data is collected, when personal data is collected, why and how personal data is processed, and what personal data is secured by Czechitas.

Any data requested by Czechitas is limited only to that which is necessary and justified (e.g. responding to an inquiry, fulfilling an order, providing a service, etc.). We do not process personal data for purposes other than those which are specified. When the need for processing personal data ceases, we will always delete the data at issue.

1. Personal data controller

Your data is processed by the Czechitas Edu z.s., with its registered office at Václavské náměstí 837/11, Nové Město, 110 00, ID number 22834958, entered in the Federal Register kept by the Municipal Court in Prague, U 1000 section (hereinafter: " Czechitas ").

As Czechitas is not a controller whose activity corresponds to the description pursuant to Article 37 (1) of the General Regulation on Personal Data Protection, we do not appoint a Data Protection Officer. You can exercise your rights related to your personal data at any time at the above address, or electronically via mojeudaje@czechitas.cz .

2. Processed personal data

We only process personal data that you provide to us in connection with registration and participation in our workshops or other events; based on partnership or similar cooperation with us at these events; and based on your activity on our website.

Registration data includes

  • Name and surname
  • E-mail
  • Telephone number
  • Age in the form of a certain age range (a large part of our workshops is targeted at certain age groups of participants, we also collect it anonymously for statistical purposes)
  • Gender (serves within the goals of our activities as one of the criteria for selecting participants for workshops)
  • City of origin (used for statistical purposes, according to which we decide in which cities we will organize workshops)
  • Occupation / school (serves as one of the criteria for selecting participants for workshops within the goals of our activity)
  • Name and surname, e-mail and telephone number of contact persons from your company, which you state with the consent of these persons in case you fill in our form for partnership cooperation
  • Photographs and audiovisual recordings of the workshops you will attend, subject to your consent. If you do not give us your consent, we will sit you back during the workshop and our photographer will be instructed not to show you in the photos. Photos will be published on our websites and social networks, or websites and social networks of our verified partners.
  • Photographs and audiovisual recordings of other Czechitas events taken on the basis of our legitimate interest. You will always be notified of the event in advance at the photo shoot. These photos will be published and passed on to pre-verified partners only to a very limited extent, you will never be in detail in the published photos, on the contrary, only photos of larger groups and groups of people will be published.
  • Curriculum vitae and the data stated in it (Curriculum vitae are required only within the applications at the Digital Academy and are also used to select suitable participants. Curricula vitae are kept only for the duration of this selection).
  • Feedback from a workshop or other event.
  • If you participate in a certain Czechitas survey, we process the data filled in anonymously for statistical purposes. In certain cases, we may ask you for your e-mail address, but we will not process it together with other data. It serves only to prevent the completion of a large number of answers by one person, or to send (anonymous) survey results if the participant requests them.
  • In connection with applying for the Czechitas Award, we also process information about your bachelor's thesis (title, annotation, date of defense).
  • Other personal data that will be published as part of your story on the Czechitas website and social networks with your consent.

Billing information

This information is necessary to fill in only if you want to issue an invoice after paying for the workshop and also if you order products in our e-shop.

  • Name and surname
  • ID, or VAT number
  • Address of residence

We also obtain (in addition to the above) the following from the participants of the IT Summer School courses:

This information is necessary for the organization of children's events and is used only for the purposes of participation in the Summer School. We process this data only for the time strictly necessary (ie during your participation in the Summer School / suburban camp, etc.).

  • Birthdate
  • Health insurance company
  • Residence
  • Name and surname of the legal representative
  • Legal representative's email
  • Phone of the legal representative
  • Data on the special health needs, health restrictions and specific diagnoses of the participant. This information is necessary so that we can adapt the course of the event to the child's needs (e.g. hiring a special pedagogical assistant, adjusting the program, offering an alternative food/beverage menu, providing suitable facilities,  or instructing a health professional to give the child required medication in the correct manner). These data do not serve as a criterion for selecting any participants.

Protection of personal data

Data we collect from your activity on our website:

  • IP address
  • Cookies (in the case of online services)
  • Other online identifiers

3. Purposes of processing

We process your personal data mainly for the purpose of:

  • Registering participants for our workshops.
  • Selecting participants for our workshops.
  • Arranging and organizing workshops and other events.
  • Sending information about starting a registration for a specific course if you subscribe.
  • Evaluating feedback from workshops and other events, or its publication (however, this will only happen on the basis of your consent).
  • Evaluating entries/submissions for the Czechitas Award.
  • Securing our website.
  • Operating our website.
  • Improving our services.
  • Establishing and maintaining partnership cooperation.
  • performing analyzes and measurements to find out how our services are used.
  • Distributing our newsletters full of offers of our courses, events, other news and a small number of offers of our partners (sending newsletters is based on your consent, unsubscribing can be done in the link located in the footer of the newsletter, or by email: mojeudaje@czechitas.cz ).
  • Presenting of our activities on the web / social networks, or on the web and social networks of our, pre-verified partners (concerns the publication of photos).
  • Reporting of our activities in connection with the projects in which we participate (this applies in particular to photographs, which, however, we always select so that the persons shown on them are as recognizable as possible).
  • Publishing feedback from the workshops, together with your name and photo (based on your consent).
  • Posting your story, including your photo, on our social networks, website, blog and other promotional materials (with your consent).
  • Enabling the addition of contributions to discussions on the Czechitas website.
  • Finding suitable cooperation in the field of IT at your request and with your consent.
  • Selling products in our e-shop.
  • Concluding contracts for the use of premises in Czechitas House.
  • Tailoring courses to the needs of participants.

4. Access to data

Data transfer occurs only in exceptional cases. Czechitas always carefully screens and chooses the partners to whom we transfer your data; and which are able to ensure technical and organizational security of your data such that there can be no unauthorized or accidental access to or other misuse of data. All our partners are bound by a duty of confidentiality and may not use the information provided for any purpose other than that for which we have made it available to them.

Third parties that may have access to your personal information are:

  • Partners and photographers to whom we submit photos from our workshops based on your consent (this consent can be revoked at any time via e-mail mojeudaje@czechitas.cz ). You can find a list of partners and photographers on our website, in the Partners section and in the Photographers section;
  • Persons to whom we provide data for the purpose of analyzing traffic to our website;
  • Persons who provide for us the technical operation of a certain service or operators of technologies that we use for our services;
  • Partners who provide the premises in which our events take place (for example, your name and surname to enter the building, or an e-mail address to connect to the wi-fi network).

Under certain, precisely defined conditions, we are obliged to transfer some of your personal data on the basis of valid legal regulations, eg to the Police of the Czech Republic, or other bodies active in criminal proceedings, including specialized units (ÚOOZ, Customs Administration, etc.) and other public administration bodies.

5. Processing time

We will process your personal data for the entire period of 3 years from your registration for a workshop, mainly due to the handling of any complaints and grievances regarding your participation, etc.

We process personal data for the purposes of fulfilling other contracts (e.g. use of Czechitas House premises) for a period of 3 years from the termination of the contract.

We process the personal data stated in the invoices in accordance with the relevant legal regulations for a period of 10 years.

If you give us your consent to take photographs and make audiovisual recordings, we will consider your consent to be given for a specific workshop.

If you give us your consent to receive newsletters, we will consider your consent to be valid for a period of 10 years from the granting of your consent. You can always unsubscribe from receiving newsletters in the manner described on this page.

We will process your feedback and your story for a period of 10 years from your registration if you voluntarily subscribe to their publication.

We process orders in our e-shop for a period of 4 years, due to any questions, complaints or disputes related to the order.

Personal data relating to the special health needs of participants will be deleted 3 months after the event for which they were necessary. For these 3 months, we keep the data only in case of disputes and necessary clarifications (eg why we used a certain part of the subsidies for assistants, etc.).

6. Title of processing

We process your personal data, in accordance with the relevant legal regulations, on the basis of the following titles:

  • Provision of the service, contractual performance (fulfillment of the contract concluded between you and Czechitas, on the basis of which you participate in workshops or purchase products in our e-shop);
  • Fulfillment of legal obligations arising for us from generally binding legal regulations (eg we are obliged to keep invoicing data for a period of 10 years);
  • Processing that is necessary within our legitimate interests (eg to ensure the security of our website);
  • Consent by you, on the basis of which, for example, we take photos from workshops or we can send you our newsletter (containing in small quantities also the offers of our partners).

7. Data security

All personal information you provide to Czechitas is secured using standard protocols and technologies. We strive for the most effective security possible at all levels of interaction. Only a limited number of authorized persons can access any personal data, and it will not be misused in any instance. 

As with all other companies, it is not objectively possible to completely guarantee the security of your personal data with us. This means that it is not possible to 100% ensure that the personal data provided cannot be accessed by a third party, that it cannot be copied, published, altered or destroyed by breaking our security measures.

In this context, however, we assure you that we regularly check the system for vulnerabilities and are not attacked and use security measures to prevent, if possible, unauthorized access to your personal data and which, given the current state of technology, provide sufficient security. The security measures taken are regularly updated.

We ask all users to help us ensure responsible behavior and responsible practices that ensure the security of their data. Please keep your password and other access data to our website secret and adhere to basic security principles. 

Please note that emails, instant messages, blogs and other types of communication with other website users are not encrypted. Therefore, we strongly recommend that you do not use these forms of communication when providing confidential information.

8. Cookies

Cookies are small data files, thanks to which the visited websites remember the actions and settings of individual users, which they performed on them, so that these data do not have to be entered repeatedly. Cookies are stored on individual computers using a web browser. Cookies do not pose a danger, they do not serve to obtain any sensitive personal data, but they are important for the protection of privacy. We do not use cookies to identify users of the website or to misuse login details.

We do not use cookies to display so-called behaviorally targeted online advertising.

9. Withdrawal of consent

You can revoke your voluntary consent to the processing of personal data at any time free of charge by sending an e-mail to: mojeudaje@czechitas.cz.

Withdrawal of consent does not affect the possibility to continue processing your personal data on the basis of your consent, which was given before its revocation. Withdrawal of consent also does not affect the processing of personal data that we process on a legal basis other than consent (ie especially if the processing is necessary to fulfill the contract, legal obligation or for other reasons specified in applicable law).

In particular, you have the following rights in relation to your personal data:

  • the right to withdraw your consent at any time;
  • the right to request processing restrictions;
  • the right to correct or supplement personal data;
  • the right to object or complain about processing in certain cases;
  • the right to request the transfer of data;
  • the right of access to personal data;
  • the right to be informed of personal data breaches in certain cases;
  • the right to delete personal data (right to be "forgotten") in certain cases;
  • other rights stipulated in the Personal Data Protection Act and in the General Regulation on Personal Data Protection No. 2016/679 after its entry into force.
