Terms of Personal Data Processing

Dear users,
in accordance with the applicable privacy protection law, we would like to share with you the information on how and why your personal data is processed, what personal data it is and how it is secured. Any data we request from you has its own justification, we do not process it for other purposes than specified, and if the processing ceases to be necessary, we always erase it. At the same time, we strive to ensure the most effective security of the data so that only a limited number of authorized persons can access it and that they are not misused in any way. 1. Data Controller

Your data is processed by the Czechitas z.s., registered office at Václavské náměstí 837/11, Prague 1, 110 00, ID 032 05 797, registered in the Federal Register kept by the Municipal Court in Prague, Section L, Insert 60955 (hereinafter referred to as "Czechitas").

Due to the fact that Czechitas is not a controller described in Art. 37 Section 1 of General Data Protection Regulation, Czechitas does not appoint a Data Protection Officer. Your rights concerning personal data prossing can be exercised at the abovementioned address, or via e-mail address mojeudaje@czechitas.cz.

2. Processed personal data

We only process personal information you provide us in connection with the registration and participation in our workshops and other events, on the basis of partnership or similar cooperation or based on your activity on our webpage.

Registration data

  • Name and surname

  • E-mail

  • Telephone number

  • Age in the form of a certain age range (a large part of our workshops is targeted at certain age groups of participants, further we also collect the age range in anonymized form for statistical purposes)

  • Gender (serves as one of the criteria for selecting participants in the workshops within our goals)

  • The city of origin (used for statistical purposes according to which we decide in which cities we shall organize workshops)

  • Occupation / School (serves as one of the criteria for selecting participants in the workshops)

  • Name and surname, e-mail and phone number of the contact persons of your company which you state (with the agreement of those persons) in case you fill in our form for the purposes of partnership cooperation

  • Photographs and audio-visual records from the workshops you attend, based on your consent. If you do not give us your consent, you shall be seated during the workshop at the back of the room and our photographer shall be instructed not to portrayyou on the photos. Photos shallbe published on our website and social networks, or on the websites and social networks of our pre-verified partners.

  • Photographs and audio-visual records from other events organized by Czechitas, taken in correspondence with our legitimate interest. You shall always be notified about the presence of a photographer beforehand. Such photographs shall be to a very small extent published on our websites and social networks, or on the websites and social networks of our partners.You shall never be portrayed in a detail at the published photos, on the contrary, merely the photographs of a larger groups of people shall be appear in the Internet.

  • The curriculum vitae and the information contained therein (We only require a curriculum vitae within the Digital Academy application form and are also used to select suitable participants. We keep the CVs only for the duration of this selection).

  • A feedback from a workshop or other event you attend.

  • In case you participate in a survey of Czechitas, we process the data for statistical purposes anonymously. In certain cases we might want your e-mail address which shall not be processed together with othere data. The purpose of it is solely to prevent filling in too many answers by one person, resp. for sending (anonymous) results of the survey to the participant.

  • In connection with Czechitas award application, we also process information about your bachelor's thesis (title, annotation, date of defense).

  • Other personal data that are based on your consent published as a part of your story on the webpage and social networks of Czechitas.

Billing Information

You only need to fill in this information if you require an invoice about workshop entry payment

  • Name and surname

  • Identification number, resp. VAT ID

  • Place of residence / residence

From the IT Summer School participants, we also receive (in addition to the above) following data:

This data is necessary for organizing the Summer School and serve only for the purpose of attending the Summer School. We only process such data for a necessary time period (e.g. during your participation in the Summer School).

  • Birthdate

  • Health Insurance Company

  • Place of residence/residence

  • Name and surname of the legal representative

  • Email of parent/another legal representative

  • The telephone number of parent/another legal representative

  • Information about special health requirements, health limitations and specific health diagnoses. Such information are necessary in order to adapt the program to your child's needs, e.g. to hire a special pedagogical assitent, adapt the program, ensure a special menu... Such informaion is by no means used as a criterium to chose the participant.

The data we receive from your activity on our website:

  • IP address

  • cookies (for online services) or another online identifier

3. Purposes of processing

We process your personal data for the purpose of:

  • Workshops registration

  • Selecting participants for our workshops

  • Organizing workshops and other events

  • Sending information about starting a registration to a particular course

  • Evaluation of a feedback from workshops or other events

  • Evaluation of the Czechitas Award

  • Security of our website

  • Running our website

  • Improving our services

  • Performing analysis and measurements to determine how our services are used

  • Sending our newsletters (based on your consent) You can log out of the newsletters using a link placedin the newsletter footer, or by e-mail: mojeudaje@czechitas.cz)

  • Presenting our activity on web / social networks, on the web and social networks of our pre-verified partners (concerning publishing the photos)

  • Proving our activity (fulfilling agreements) in connection with the projects we participate at (concerning mainly the photos, however, we always hand over only the photos with hardly recognizable subjects)

  • Publishing your feedback from the workshops together with your name and photograph (on the basis of your agreement)

  • Publishing your story, including your photography, at our social networks, webpage, blog and other promotional materials (based on your consent)

  • Enabling to add an entry to a discussion on our webpage

  • Finding a suitable cooperation in IT at your request and with your consent

  • Providing services from the contract on the use of premises of Czechitas House

  • Adapting the workshops to the needs of the participants

4. Access to data

Your data is safe with us. Data transfer occurs only in exceptional cases, but we always carefully select the partners whowe transfer your data to and we make sure that they are able to provide the technical and organizational security of your data to prevent an unauthorized or accidental access or other misuse of the data. All our partners are bound by the confidentiality obligation and must not use the data provided for any other purpose than that to which we have transferred it.

The third parties that may have access to your personal data are:

  • Partners and photographers, whom we pass on your photos from our workshops (this consent can be withdrawn at any time via an e-mail mojeudaje@czechitas.cz). You can find a list of partners and photographers on our website, Partners and Photographers section;

  • The people we provide data to in order to analyze the traffic of our site;

  • Those who provide technical services to us or technology providers that we use for our services;

  • In case of participating in a workshop the third parties are also the partners providing the premises. Those can get e.g. your name and surname in order to enter the building, or an e-mail address to connect you to the WiFi network.

Under specific, well-defined, conditions, we are required to transfer some of your personal information under applicable laws, such as the Czech Police, other authorities involved in criminal proceedings, including specialized departments (UCOZ, Customs, etc.) and other public authorities.

5. Length of processing

We will process your personal data for the period of 3 years from your participation in a workshop, in particular in order to handle any complaints about your participation, etc.

We will process personal data from other contracts for the period of 3 years from termination of the contract.

If you grant us consent with taking pictures and making audio-visual recordings, we will assume your consent to be awarded for a particular workshop.

If give us a consent with receiving newsletters, we will consideryour consent to be granted for a period of 10 years from the date of your consent. You can always unsubscribe from newsletter submissions as outlined hereunder.

The personal data concerning the special needs of the participants are going to be erased 3 months after the workshop, for that they are needed. We keep such data for these 3 months only for case of a dispute or necessary explanations (eg. why we used a particulart part of donations for assistents etc.).

6. Processing title

We process your personal information, in accordance with applicable laws, on the basis of the following titles:

  • Provision of services, contractual performance (fulfillment of the contract between you and Czechitas establishing your participation in the workshops);

  • Compliance with the legal obligations resulting from the applicable legislation (e.g. we are required to keep billing information for 10 years);

  • Processing that is necessary within our legitimate interests (eg. to ensure the security of our site);

  • Consent to take photos from workshops or to receive newsletters

7. Data security

All the personal data you provide us is secured by standard procedures and technologies. As with all other companies, it is not entirely possible in our case to fully guarantee the security of your personal data. This means that it is not possible to 100% ensure that the provided personal data can not be accessed by a third party, that they can not be copied, published, altered or destroyed by breaking our security measures.

In this regard, however, we assure you that we regularly check that the system is free of vulnerabilities and has not been subjected to an attack, and that we use such safeguards which, if possible, prevent unauthorized access to your personal data and which with regards to an actual state of technologies provide sufficient security. The security measures adopted are regularly updated.

However, in order to ensure the security of your data, we also need your help and responsible behavior. Therefore, we ask you to keep your password and other access to our site secret and to adhere to the basic security policy. Please keep in mind that emails, instant messaging, blogs, and other types of communication with other web users are not encrypted. Therefore, we strongly recommend not to use these forms of communication when providing confidential information.

8. Cookies

Cookies are small data files that make the visited websites remember the actions and settings of the individual users that those made on such websites,so that they do not need to be repeated. Cookies are stored on individual computers using a web browser. Cookies are not a hazard, they do not serve to get any sensitive personal information, but they are important for privacy protection. We do not use cookies to determine the identity of website users or to abuse registration data.

We do not use cookies to display so-called behaviorally-targeted online advertising.

9. Revocation of consent

Your voluntary given consent with the processing of personal data may be revoked at any time free of charge by sending an e-mail to: mojeudaje@czechitas.cz.

Revocation of consent does not affect the possibility to continue processing your personal data based on your consent, which was given prior to its recall. Revocation of consent also has no effect on the processing of personal data that we process on a legal basis other than the consent (i.e., in particular, if the processing is necessary to fulfill the contract, legal obligation or for other reasons stated in the applicable legislation).

In relation to your personal data, you have the following rights in particular:

  • the right to withdraw the consent at any time;

  • the right to request a restrictionlimitation of processing (to the extent that processing is not prescribed by law, or is not necessary for the justified interest of Czechitas);

  • the right to rectificationcorrect or supplement of inaccurate personal data or to completion of incomplete data;

  • The right to object of objection or file a complaint against processing in certain cases;

  • the right to request data portabilitythe transfer of the data;

  • the right of access to own personal data;

  • the right to be informed about a personal data breach in certain cases;

  • the right to erasedelete personal data (the right to be "forgotten") in certain cases; and

  • other rights set out in the Personal Data Protection Act and General Regulation 2016/679 on the Protection of Personal Data after its entry into legal validity.
